Keep the outage plan outside the outage
If the instructions for an email outage are stored only in email, the plan has a problem. A small business needs a short way to reach the right people when its usual tools are unavailable.
Start with one page: who decides what to stop, who calls the IT provider, how to reach the owner, and how staff will receive updates. Include the relevant service providers and insurance contact if applicable. Keep a printed copy and a protected offline copy available to the people who need them. Leave passwords out.
Walk through one ordinary scenario with the team: the office cannot access email or shared files on a busy morning. Can people find the contact sheet? Who checks whether it is a service outage or something more serious? Which work can safely continue?
Update the sheet when a person or provider changes. This is a starting point for a response plan, not the whole plan. Its first job is to keep a confusing morning from becoming an hour of searching for phone numbers.
